Automated Email Notification Module

The UltraTime Enterprise Automated Email Notification module provides e-mail notification to designated recipients for general reminder messages as well as failure to act events.

The purpose of an automated labor tracking system is to eliminate manual procedures and to assist in alerting and correcting mistakes or exceptions. In general, the processing of a normal time entry is fully automated from the employee's punch all the way through to payroll. However, if an employee is off schedule, absent or forgets to punch, the supervisor needs to be alerted to the exception in an efficient and timely manner. That is where the Automated Email Notification module can be very beneficial.

The automated Email notification module is an excellent method for quickly alerting a supervisor to exceptions or mistakes. For example, an email can be generated of employees that have not punched in a few minutes after their scheduled shift start time. This real-time alert allows the supervisor to confirm the employee's absence and begin the procedure for a replacement. The alert may even be sent to the supervisor's cell phone as an email or text message, so they are promptly alerted even when they are not at their desk.

Another example is to remind supervisors to confirm their employee's time entries prior to payroll. This eliminates the delays, inaccuracies and frustration caused by having to rush prior to payroll processing.

The system is controlled by records in a task table which is periodically monitored by the service for tasks to process.

There are three primary notification types:
  • General Reminder - This operation sends a simple email normally informing the recipient that some action on their part is now required such as "Payroll Day". Please remember to submit your hours by 11am!
  • Employee Failure To Act - This operation sends an email to employees who have failed to enter any hours or absences for the completed pay period by the task event time. For example: Employee hours entry deadline may be 11am, but if they haven't entered their hours by 9am, send an email informing them that their immediate attention is required.
  • Supervisor Failure To Act - This operation sends and email to supervisors who have failed to approve their payroll by the required time. For example: Supervisor approval deadline may be 2pm that day, but if they have not approved by 1pm we want to send them an e-mail that their immediate attention is required.
